Hot Glass Programs and Creative Services Project Specialist

Provides broad-range support for the onsite and outreach activities of the Creative Services and Hot Glass Programs (HGP) departments. Works closely with the Senior Director, Creative Strategy & Audience Engagement, the Senior Manager, Hot Glass Business and Technology Development and the Senior Manager, Hot Glass Programs through purchasing, scheduling, travel logistics, agreements with guests and external partners and correspondence. Supports onsite and offsite programming by developing, monitoring and reporting annual budgets.

Responsibilities:

General/Budget

  • Coordinates logistics, agendas and objectives for VIP and key executive visits related to Onsite and Offsite programs and projects.
  • Collects and compiles information from the departments served to aid in annual budget preparation.
  • Works closely with managers and accounting department to submit fully-developed budgets on time.
  • Tracks spending and monitors monthly budget updates; reports areas of concern to the group.
  • Contributes to and assist in management of cloud-based and local shared document storage.
  • Provide back-up support for North Office administrators when needed.

Onsite Programs

  • Manages HGP event calendar.
  • Facilitates communication within team working on and off site.
  • With the HGP managers, develops and completes agreements for guest artist, outreach, special glassmaking projects and Corning Incorporated research projects.
  • Coordinates guest artist visits, Rockwell collaborative artist and GlassLab design workshops. Secures agreements, books travel and lodging and arranges payment.
  • Serves as primary contact for the Events Team for scheduling of hot glass events.
  • Secures agreements and provides scheduling support for Research in the Public Interest projects and special glassmaking projects.
  • Assists in development, documentation and tracking of future revenue projects.

Outreach Programs

  • Maintains records of all outreach inquiries and coordinates timely responses.
  • Coordinates onsite visits for partners and guests for future collaboration.
  • With the HGP management team creates and maintains proposals, budgets and contracts for hot glass and flameworking outreach programs.
    • Works with accounting to approve outreach budgets and to obtain appropriate insurance coverage
    • Assists accounting with follow-up including labor reports and total cost analysis
  • Assists in the planning and implementation of outreach logistics for personnel, goods and equipment.
  • Coordinates transportation logistics for mobile studios. Works closely with Corning Incorporated transportation logistics team and third-party transportation providers.
  • Manages coordination of partner-provided support: electrical, gas & oxygen, security, weather protection, permits, inspections and host program support personnel.
  • Maintains and updates print and online outreach promotional materials.

Qualifications:

  • Bachelor’s Degree required with a concentration in business desired.
  • Minimum five years’ experience in planning and project management desired.
  • Demonstrated experience managing complex projects.
  • Demonstrated experience negotiating contracts desired.
  • Demonstrated experience developing and managing budgets desired.
  • Ability to represent the Museum in a professional manner.
  • Excellent analytical skills.
  • High degree of accuracy, organizational skills and attention to detail.
  • Ability to maintain confidentiality.
  • Excellent written and oral communication and interpersonal skills.
  • Ability to work in a team with minimal supervision.
  • Strong knowledge of MS Office and Cloud services including Office 365 & DropBox
  • Ability to work a flexible schedule when needed.
  • Knowledge of glass processes desired.
